This page explains what personal information Revuno collects through this website and, if you become a client, through the services Revuno runs for you, what it is used for, and your choices.
Revuno is a business based in Ontario, Canada. It follows Canada’s federal privacy law for businesses, the Personal Information Protection and Electronic Documents Act (PIPEDA). Where a client or one of their customers is in Quebec, Revuno also follows Quebec’s Act respecting the protection of personal information in the private sector (the law commonly called Law 25). Where a client or one of their customers is in the United States, Revuno follows the rules described under United States clients and customers.
Privacy officer
Devon, Revuno’s founder, is Revuno’s Privacy Officer and is the person responsible for how Revuno handles personal information, including for the purposes of PIPEDA and Quebec’s Law 25. You can reach Devon at hello@revuno.ca or 289-946-2422.
What you share with us
The free audit form asks for your name, business name and email address, and optionally your website and phone number. If you email or call, we receive whatever you choose to share. We ask for this so we can prepare your audit and reply to you, and the form says so at the point you fill it in.
How the form sends it
The audit form sends your details to Revuno’s customer management system. If that connection isn’t available, the form opens your own email app with the details filled in, and nothing is sent until you press send yourself.
What we use it for
- Preparing your free audit and replying to you.
- Following up about that request, or about your plan if you become a client.
- Billing and keeping the records the law requires.
We only use your information for the purpose you gave it for, and we don’t sell it, rent it or trade it. We only send you marketing emails if you’ve agreed to them, and every one lets you unsubscribe. You can withdraw your consent at any time, and we’ll tell you if doing so means we can’t continue part of the service.
If you become a client
We hold your business details, the people we deal with at your business, your account and plan history, the access you grant us, and our correspondence with you. We use it to run your plan, support you, bill you, and report on the work.
Your customers’ details, and Revuno’s role
To send review requests for you, Revuno receives your customers’ names and contact details, such as a phone number or email address, from you or from software you connect, along with the fact that a job was completed.
For that information, Revuno acts on your behalf and on your instructions. Your business decides whose details are shared and why; Revuno is the service provider that processes them for you. Your business stays accountable under privacy law for the information it hands to Revuno, including for having your customers’ consent to be contacted, as set out in the terms. Revuno’s side of that is set out in the data handling clause of the terms, which is a binding promise to you, not just a description.
Revuno uses these details only to send review requests and follow-ups in your business’s name, to handle replies and opt-outs, and to report on them to you. They are never sold, never used for Revuno’s own marketing, and never used for any other client.
Review requests by text and email
Review requests are sent by text message, email, or both, in your business’s name. This means:
- Text messages pass through the mobile carriers and messaging networks needed to deliver them. Revuno can’t control what those networks log in the course of carrying a message.
- Revuno keeps a record of what was sent, when, whether it was delivered, whether it was opened or a link in it was clicked, any reply, and any opt-out. Revuno uses these records to run the service, to report to you, and to prove that opt-outs were honoured.
- Anyone can stop the messages by replying STOP to a text or using the unsubscribe link in an email. Revuno stops messaging them, and keeps a minimal record that they opted out so that they aren’t contacted again.
AI-assisted drafting
Revuno uses the artificial-intelligence features built into HighLevel, its customer management system, to draft review requests and draft replies to reviews in your business’s voice. Where that happens, your customer’s name and the text of their review may be processed by those features in order to produce a draft.
Nothing is sent to a customer, and no reply is posted publicly, on the strength of a draft alone. A person reviews it first. Replies to negative reviews are always read by Devon before anything is posted. No decision that affects a person is made automatically by these features.
Who helps us
Revuno uses a small number of service providers. Each may only use the information to provide its service to Revuno, under its own agreement with Revuno:
- HighLevel (GoHighLevel) — audit requests, client records, sending review requests and messages, and the AI drafting features described above. HighLevel in turn uses mobile carriers and messaging providers to deliver text messages.
- Stripe — card payments and subscription billing. Your card details go to Stripe directly and Revuno never sees or stores the full card number.
- Revuno’s email provider — business email.
- This website’s hosting provider — serving this site, and standard server logs.
- Google — where you grant Revuno manager access to your Google Business Profile, Revuno works inside Google’s systems under Google’s own terms and privacy policy.
- Zapier, or a CRM you ask Revuno to connect — only where you ask for an integration. That connection sends your data to a system you have chosen, under that provider’s own terms.
- Your social pages — where your plan includes sharing five-star reviews, Revuno posts them to your own social accounts, which are run by those platforms under their own terms.
Revuno will tell you before adding a service provider that handles your customers’ details, as the terms require.
Where information is stored
HighLevel, Stripe and Revuno’s email and hosting providers store information outside Canada, including in the United States. While it is there it can be accessed by the courts, law enforcement and national security authorities of that country under the laws that apply there.
Before transferring personal information outside Quebec, Revuno assesses whether it will receive adequate protection, taking account of how sensitive it is, what it will be used for, the protections the provider gives it, and the law of the country it goes to. Revuno has carried out that assessment for each provider listed above, and the arrangements are governed by written agreements. If you are in Quebec and want to know what that assessment covered, ask and Revuno will tell you.
Website visitors and server logs
Revuno’s hosting provider keeps standard server logs, which include the IP address of the device making the request, the page requested, the time, and the browser’s user-agent string. These are used only to keep the site running and secure, and to investigate faults or abuse. They are kept for up to 30 days and then overwritten, except where a log is needed longer to investigate a specific incident.
How long we keep it
- Audit requests that don’t lead to a plan: up to 12 months, then deleted.
- Your clients’ customer details: for as long as your plan runs. When it ends, we return them to you on request, and delete them within 30 days.
- Opt-out records: kept indefinitely, because the only way to be sure we don’t message someone again is to remember that they asked us not to. These hold the minimum needed to do that.
- Server logs: up to 30 days, as above.
- Billing records: six years, as the Canada Revenue Agency requires.
- Records of any privacy breach: 24 months, as PIPEDA requires, whether or not it had to be reported.
How we protect it
Information is kept in password-protected accounts secured with multi-factor authentication. Devon is the only person with access to client and customer information; Revuno has no employees or subcontractors who can see it. If that ever changes, anyone given access will be bound in writing to confidentiality and to the commitments on this page, and this page will be updated.
If a breach ever creates a real risk of significant harm, we will tell the people affected and the Office of the Privacy Commissioner of Canada, as PIPEDA requires, and the Commission d’accès à l’information du Québec where Quebec residents are affected. If the breach involves your customers’ details, we will tell you without undue delay and in any case within 72 hours of becoming aware of it, so that you can meet your own obligations.
Cookies and tracking
Analytics is not currently enabled on this site. The site uses no advertising cookies and no cross-site tracking, and its fonts are served from this site rather than a third party. If analytics is enabled, Revuno will use the privacy-focused Plausible service, which sets no cookies and builds no profiles, and will update this page at the same time. If Revuno ever adds technology that does identify, locate or profile visitors, it will ask for your consent first.
Your choices and your rights
Wherever you live, you can ask Revuno to:
- tell you what personal information it holds about you, where it got it, and who it has been shared with;
- correct it if it is wrong or incomplete;
- delete it, or withdraw a consent you previously gave;
- stop sending you messages;
- give you a copy of the information you provided, in a structured, commonly used electronic format, or send it to someone else you name.
Email hello@revuno.ca. We will reply within 30 days, and we won’t charge you for it. We may need to confirm who you are first. There are a few things we can’t delete on request — billing records we are required to keep, and opt-out records, because deleting those would mean messaging you again by mistake. If we refuse a request, we will tell you why in writing and tell you how to complain.
If you’re not happy with our answer, you can contact the Office of the Privacy Commissioner of Canada, or, if you are in Quebec, the Commission d’accès à l’information du Québec.
If you are a customer of one of Revuno’s clients
If you received a review request from a business that uses Revuno and you want to know what is held about you, see it, correct it, or have it deleted, you can email hello@revuno.ca and Revuno will help. Because Revuno holds that information for the business rather than for itself, Revuno will pass your request to that business and work with them to answer it, and will tell you who they are so you can deal with them directly if you prefer. If you only want the messages to stop, tell Revuno and they will stop, with no need to involve anyone else.
United States clients and customers
Revuno is not large enough to be caught by the comprehensive state privacy laws such as the California Consumer Privacy Act, and it does not sell personal information or share it for cross-context behavioural advertising under those laws. Rather than rely on that, Revuno extends the rights listed under Your choices and your rights to everyone who asks, wherever they live.
Where Revuno processes a US client’s customer details, it acts as that client’s service provider: it uses the details only to provide the service, keeps no right to use them for its own purposes, and will delete or return them on instruction.
Text and email review requests to US recipients are governed by the US rules on commercial messaging, including the Telephone Consumer Protection Act and the CAN-SPAM Act. Those rules are stricter than Canada’s: a US customer must have given a documented opt-in before the first text is sent, and the implied consent that Canadian law allows is not enough. The obligations this places on a client business, and what Revuno will and won’t send, are set out in the terms.
Children
Revuno’s services are sold to businesses and are not directed at children. Revuno does not knowingly collect personal information from anyone under 16 through this website. If you believe a child has sent us information, email hello@revuno.ca and we will delete it.
Changes to this page
Revuno may update this page. The date at the top shows the latest version. If a change meaningfully affects how Revuno handles information about you or your customers, Revuno will email clients at least 30 days before it takes effect.
